Privacy

It is Triquetra Planning’s policy to respect the confidentiality of information and the privacy of individuals.

In the course of carrying out our activities, Triquetra Planning will collect, store, use and disclose personal information. We are committed to the protection of your personal information and to compliance with Australian privacy law.

Personal information

Personal information is information or an opinion about an identified or reasonably identifiable individual, whether or not the information or opinion is true and whether or not the information is recorded in a material form.

Types of personal information we collect and hold

We collect and hold personal information about individuals for the provision of our products and services and purposes connected to those products and services.

Consistent with the provision of our products and services, the types of personal information we may collect and hold includes individuals’ names, contact details, financial information, contact preferences, statistical information regarding the use of the website, credit card or other financial information and computer IP address.

How we collect and hold personal information

We may collect personal information directly from you in the course of providing our products and services. Personal information is held securely, is subject to various security protections and is held only for as long as the information remains relevant to the purpose for which it was collected or to the extent it is required by law to be held. It is however prefered that no data is received or retained by the receiving party directly. Unless otherwise agreed and approved, access to financial planning software and systems is provided by the disclosing party to limit the amount of data transferred between parties.

Purposes for which we hold, use and disclose information

We will not use or disclose personal information for any secondary purpose, unless that secondary purpose is related to the primary purpose for which we have collected that information, and you would reasonably expect the disclosure in the circumstances, or unless you consent to that use or disclosure.

The purposes for which we hold, use and disclose information include:

· conducting our business;

· for our internal administrative, research, planning, marketing, reporting and product development.

Access and correction

We do not disclose personal information to overseas entities.

Changes to this policy

We will review and update this Privacy Policy from time to time as needed without notice. Therefore, you should review the terms of this policy periodically to make sure that you are aware of how we collect, hold, store and use personal information.

Complaints

If you consider a breach of the Privacy Act 1988 (Cth) has occurred, you may direct your query to our Privacy Officer and we will attempt to resolve your complaint.

If you do not consider our response satisfactory, you may contact the Australian Privacy Commissioner at its website www.oaic.gov.au or by telephone on 1300 363 992.

Confidentiality

Triquetra Planning take all possible measures to identify, manage and mitigate the risk of opportunity for financial crime. Triquetra Planning abides by the Australian Laws regarding financial crime, anti-money laundering and bribery. Triquetra Planning is bound to abide by the Australian Privacy Act and the Australian Privacy principles.

As part of this

  • Each party shall ensure the proper and secure storage is provided for the confidential information of the other party while that confidential information is in its possession

  • Each party shall only use confidential information of the other party in order to perform the requested services.

  • Each party shall not use, directly or indirectly, or disclose to any third party any confidential information of the other party without the prior written consent of that party.

Exceptions to this are

  • When the information was known to the receiving party before receipt from the disclosing party

  • when the party has independently created the information

  • when disclosure is required by law or regulatory body

  • when disclosure is made to a person who has a need to know the information for the purposes of the services and on the basis that the person keeps the information confidential

All confidential information will remain the property of the disclosing party, and the receiving party will promptly return or delete all copies and excerpts thereof to the disclosing party upon request.

Upon discovery of any disclosure or misuse of confidential information, the receiving party will promptly notify the other party and will act to prevent any further disclosure or misuse.

For the purposes of this document confidential information means all information furnished by one party to the other party pursuant to this document where that information is identified either orally or in writing to be confidential or is marked to indicate that it is of a confidential nature.

We prefer not to send or receive any client data by email and that all relevant client data remains on your software and system to which temporary access is granted to Triquetra Planning for the purpose of completing the contracted work. We do not retain any of your client data after after the work has been completed and any documents created for the purpose of the contracted work is stored in your software and systems.

Unless otherwise agreed and approved, access to financial planning software and systems is provided by the disclosing party.

All technology used to complete works is held in a secure location with full password protection.
